Does this mean that we can only put one application in for 2020 listing all preferred dates in a preference order?
We ask that members submit an reservation by the 31st October. We will determine and notify the successful applicants during the first week of November.
Members are asked to submit their reservations (up to 3 periods). Where more than one member applies for the same date period a random ballot will be held to determine who the holiday slot is allocated to.
Anyone unsuccessful in the ballot will be able to reapply for any remaining vacant holiday slots when they are re advertised. The remaining available dates will be shown on the booking calendar on a first come first served basis.
If we request multiple dates on the calendar are we entered into the ballot for each of the date slots?
Yes you will be entered into the ballot for all three date slots should that be necessary. If you are successful in the ballot for your first date preference you will be allocated that slot and removed from further ballots during the relevant calendar year. If you are unsuccessful in the ballot for your first date preference you will automatically be included in the ballot for your next date preference and so on. A ballot will only be held where there are multiple applications for a specified period.
If we are successful in more than one are we then obliged to take all dates given?
You can only be successful in one ballot during any calendar year. Once successful in a ballot you will be removed from further ballots during that calendar year. If you are successful in a ballot you will be provided with a unique reference code to secure your booking.
Do you know when this ballot will be drawn in terms of notice to obtain annual leave for the booking?
Successful applicants will be notified during the first 10 days of November each year.
Will there be multiple ballots per year if I submit a booking sometime in 2020 for a date later in the year?
Following the ballot in early November, any remaining holiday slots that are still available will be advertised and any one unsuccessful in the original ballot will be able to reapply. Only those members who have already been allocated a slot will be unable to reapply. It is hoped that the vast majority of slots will be filled during the November ballot.
If successful with a date preference but then cannot get annual leave authorized, what is the process?
You should try and secure your annual leave prior to submitting your date preferences. If annual leave is declined we will advertise the slot to the wider membership. Providing you give us 14 days’ notice you will not be charged if you are unable to secure annual leave.
